Financials and Accounting / Budget

  • 26 outstanding KVCA fees for 2024, 1 outstanding fee for 2023. Note: a $2,400 Heritage Grant from government needs to be spent on Canada Day events.

2024 AGM

  • Agreed date: Saturday, May 25th, 2024 — live meeting with virtual attendance; virtual votes by proxy only. First notification emailed at least 2 weeks before; second notification with proxy at least 1 week before.
  • Reviewed the latest 2024 budget version — should it include numbers for the Alert Notification System, Cargo Trailer, and more funds for social events. Confirming who plans to let their names stand.
  • Initial AGM discussion on consolidation of common area development and services — Q&A time planned after the AGM for anyone with questions (action: Colin Stroeder).
  • A vote will be held on whether to sell the fire truck. Bruce proposed increasing annual fees from $100 to $200/year — unanimous in favour from BODs in attendance; updated forecasted budget to be presented and voted on at the AGM.
  • Proposed agenda: Sat May 25, 9:30–11:30am AGM meeting; 11:30–1:30 BBQ and clean-up starting at 1:30pm; fireworks at dark. FireSmart presentation deferred to a later date (Jessica unavailable for the AGM).

Correspondence & Membership Maintenance

  • GMail still returns over 70 undelivered emails — need to send individually.

Community Engagement

Darryl, Sheri & Jared

  • Update on survey to confirm AGM and cleanup dates. Sheri gave an update on plans for the Road Clean Up and Hotdog BBQ after the AGM. Team to develop a master plan for community communication via newsletters, email, and social media.

Fire & Safety

Ciara, Darryl & Rick

  • Confirmed Rene will run Spring/Summer hydrant training with an email notification to be sent. Final review of the Fire Truck letter to go to membership, to be emailed with the 1st AGM notification.

Developer Relations

  • On hold — need to realign who is assigned to this after the AGM.

Growth & Development

Reg & Colin

  • Updates to migrate common strata and freehold services and common area development to the KVCA — next steps: develop a step-by-step plan on how this should progress.
